DocuMail Pro requests access to your Google Workspace data (Google Sheets, Google Docs, Google Drive, and Gmail) solely to deliver automated document creation and mail merge features requested by you.
- Google Sheets & Google Docs: We access spreadsheet and document templates only to read specified header columns, fill dynamic tags, and format output documents.
- Google Drive: We access Google Drive strictly to store generated PDFs and Docs in your designated target folders and to attach selected files to outgoing emails.
- Gmail: We access Gmail permissions exclusively to compose and dispatch personalized outbound emails on your behalf as configured in your merge settings.
- Data Privacy Guarantee: DocuMail Pro does not store, transfer, analyze, or sell your personal data or email contents to any external servers. All processing happens securely within your Google Workspace environment.

How to Manage or Delete Your Data
Because all data remains strictly in your account, you have complete control over managing and removing it at any time:
- Merge & Email Status Logs: Clear or delete the DocuMail Pro status columns in your active Google Sheet (e.g., “Merged Doc Status”, “Merged Doc ID”, “Merged Doc URL”, or any “Sent Mail Status – [Template Name]” columns).
- Saved Template Configurations: Click the delete option on any saved template card directly inside the DocuMail Pro sidebar interface.
- Generated Documents & PDFs: Simply delete any generated output files or destination folders directly from your Google Drive.
- Scheduled Automated Runs: Deleting a scheduled template inside the add-on automatically unlinks its background trigger. You can also manually review or delete active triggers at any time by opening your spreadsheet and navigating to Extensions > Apps Script > Triggers.
- Uninstalling & Revoking Access: To remove the add-on entirely, open Google Sheets or Google Docs, click Extensions > Add-ons > Manage add-ons, and select Uninstall. You can also revoke OAuth authorization at any time via your Google Account Security Settings.

Install & Initiate Template Structure
- Open Google Chrome, go to the Chrome Web Store (or Google Workspace Marketplace), search for DocuMail PRO, and click Install.
- Open any new or existing Google Sheet. Go to the menu bar, locate DocuMail PRO, and click Initiate Template Structure.
- Grant the required Google Workspace permissions (DocuMail PRO runs natively and does not store your sheet data on third-party servers).
- Note: Mandatory engine columns will automatically be appended after your last data column to handle status tracking and prevent duplicate sends.

Create Dynamic Template in Google Docs/Slides
- From the DocuMail PRO sidebar in Google Sheets, click Create Dynamic Doc from Sheet to launch the Template Editor.
- Simple Variable Insertion: Position your cursor where you want data to appear in your document, select your variable (e.g.,
Client Name,Invoice Date) from the sidebar, and click Insert Variable. - Conditional Variables (Optional): Show or hide specific paragraphs or table rows dynamically:
- Select whether the rule applies to a Paragraph or Table Row.
